Cancellation & Reschedule Policy
Effective May 25, 2026. Applies to all classes booked through heartbeathavenlv.com.
Individual class bookings
| When you cancel | What happens |

| 24+ hours before class start time | 100% refund to your original payment method, or free reschedule. |
| Less than 24 hours before class | 50% credit toward a future class within 90 days. No cash refund. |
| No-show (didn’t cancel, didn’t come) | No refund and no credit. |
Group / on-site bookings
Group bookings require more advance planning, so the window is longer.

| 3-6 days before class | 50% credit toward a future booking within 6 months. |
| Less than 3 days before, or no-show | No refund and no credit. Travel and prep time has already been committed. |
How to cancel or reschedule
For individual classes: Use the reschedule or cancel link in your confirmation email. Both go through Cal.com and process immediately.
For group/on-site bookings: Email hello@heartbeathavenlv.com or call (725) 308-4094. Group changes are confirmed in writing.
Instructor-initiated changes
Rarely, we may need to cancel or reschedule a class (instructor illness, weather, equipment failure). If we cancel, you get:
- 100% refund OR
- Free reschedule to any available date OR
- Full credit toward a different course of equal value
We notify you as early as possible, usually 24+ hours ahead. In genuine emergencies it may be same-day.
Late arrivals
Classes start on time. If you arrive more than 15 minutes late for any AHA course, we cannot certify you that day. AHA requires full participation. You’ll be treated as a same-day cancel (50% credit toward a future class).
Online module incompletions
For Heartcode blended (BLS/ACLS/PALS) or NRP, you must arrive at your in-person session with proof of online completion. If you don’t, we can’t run the skills session for you. Treated as a same-day cancel.
Failed skills checks
If you don’t pass the skills test on your booked day, we work with you to remediate that day if time allows. If we can’t remediate in-class, you get one free retake within 60 days. After that, full re-booking is required.
Disputes
If you think a charge or refund is wrong, email hello@heartbeathavenlv.com within 30 days. We’ll review and respond within 5 business days.
